Document SOPs

Procedures that
write themselves.

The SOP nobody updates is the one nobody wrote at the desk. Do the procedure once with the recorder on and the document builds itself, steps, screenshots and all.

In short

Chronika is SOP software that writes the procedure while you do the task. Each click becomes a numbered step with its screenshot, so a standard operating procedure is a recording rather than a writing project. Edit it, file it in a team workspace, and export it to PDF or Word when a binder or a wiki asks.

01How it works

Record it. Share it. Fix it. Keep it.

Take approving a purchase order: open the order, check the total, approve, file it. Do that once with the recorder on and the draft exists, so your time goes on the notes that matter instead of retyping clicks.

  1. Capture it as you work

Write the procedure at the desk, not afterward

Writing an SOP from memory means missing the step you do without thinking. Record yourself doing it instead. Every click is a step. Text you type is a step too, except in password fields.

    • With an AI provider set up, a finished recording gets a title, an introduction and step text written from your clicks and your narration
    • Without AI, sensible default titles are written instead
    • Say the exceptions aloud as you hit them, and the narration stays with the step
  2. Share it where work happens

Publish it in the format your document system takes

Share the guide inside the workspace, send a public link, or export it. PDF and Word keep the screenshots with the click rings drawn in. HTML and Markdown let a wiki or a repository hold the text.

    • PDF, Word, HTML and Markdown exports
    • A read-only public link you can turn off
    • Guide Me plays the procedure one step at a time
  3. Fix the painful parts

    Mark what is mandatory

A good procedure says which steps are optional and which are not. Add a note with the rule, an alert on the step that cannot be undone, and a tip on the shortcut. Every word the AI drafts is yours to change.

    • Tips, notes and alerts, set apart from the instruction
    • Zoom and annotate the field the reader must check
    • Reorder steps when the order changes, hide a step instead of losing it
  4. Keep the library in order

Update the procedure when the screen changes

A procedure goes stale when the screen changes. Open the guide, fix the step that moved, add the new one, and reorder. You can also ask for a fresh write-up, which you review, apply and undo.

    • Record more steps into an existing guide
    • Write it up proposes new text; Undo puts the old text back
    • Deleted guides go to Trash first
Once the recording is a guide, ask me to tighten the step titles or put a tip on the step that cannot be undone. I change the words and the order, not the screenshots, and I cannot see them. Sharing and deleting stay with you. I need an AI provider, which whoever runs your Chronika sets up.

02Example guides

Guides you would record

These are the kinds of procedures a team could record. They are examples, not customer work.

  1. 01How to approve a purchase order
  2. 02How to set up a new vendor
  3. 03How to run the month-end close
  4. 04How to back up the shared drive
  5. 05How to issue a credit note
  6. 06How to archive a finished project

Rows marked “Check” in the Status column must be cleared before you export.

03What you get

What Chronika does for a procedure

  • Captures one step per click, with the screenshot and the click ringed
  • Lets you edit every title and description, whether AI drafted it or not
  • Adds tips, notes and alerts apart from the instructions
  • Exports to PDF, Word, HTML and Markdown
  • Keeps guides in collections and sends deleted guides to Trash first
  • Gives editors write access and viewers read-only access

04Questions

Before you start

Does Chronika track approvals or revision history?
No. It keeps the current version of each guide, with Trash for deleted ones. If you need a signed, dated copy, export it to PDF or Word and file it where you keep controlled documents.
Do I need AI to get a readable procedure?
No. Without AI, each step gets a plain title from the click. If you set up an AI provider, it drafts the title, introduction and step text for you to review. You decide what stays.
Can I record a procedure that uses Excel and a browser?
Yes. Record the browser part with the extension and the desktop part with the Windows app, and keep both in one guide.
